Case Study: The Craggs and Re-Leased
The Craggs Levels Up Four Businesses with One Platform
A Yorkshire family-run property group with multiple companies, multiple sites, and multiple ownership structures found the single view they’d been searching for.
Heidi Bingham | Owner, The Craggs
About The Craggs
The Craggs is a commercial property group based in the Calder Valley, Yorkshire. The business runs four sites across everything from two-person serviced offices to large industrial warehousing. The portfolio includes a renovated chapel turned boutique office space, a farm shop, a brewery, a children’s swimming pool, and a self-storage business. It’s varied, it’s characterful, and it’s all managed by a tight-knit team.
What makes The Craggs distinctive is the structure underneath. The brand sits across multiple companies with different ownership, different accounting setups, and different property types. Running them as one cohesive operation was the problem no software had been able to solve.
The challenge
For years, The Craggs ran on a combination of a legacy CRM that Heidi Bingham and her team had repurposed into a property management system and a patchwork of spreadsheets. The setup worked, but only just.
The core issue was visibility. The legacy system couldn’t connect to multiple accounting entities. Financial data sat in silos. If the team’s accounts administrator wasn’t available, nobody could check whether an invoice had been paid. Rent figures had to be manually cross-referenced between systems, and every manual step introduced room for error.
Why Re-Leased
The Craggs had explored Re-Leased years earlier, but the multi-entity capability they needed wasn’t available at the time. When the team discovered it had been added, the conversation reopened. They attended a Re-Leased event and were convinced by the transparency: real customers giving honest views, not a polished sales pitch.
They also committed to a principle that shaped the entire rollout: let the software lead.
“No other software could handle the fact that we’ve got one brand, multiple sites, owned by different businesses, running different accounting packages.”
A single view across four businesses
This was the reason Re-Leased stood apart. For the first time, Heidi can see all four properties, their tenancies, their financials, and their operations in one platform, regardless of which company owns what.
The Xero Connected Accounting integration made the biggest immediate difference to day-to-day work. Invoicing, previously a manual process of cross-checking reports against separate accounting records, now runs directly from Re-Leased. If the rent is correct in Re-Leased, the invoice is correct. No double-entry, no second-guessing.
The shift also opened financial visibility across the team. Accounting is no longer locked away in a system only their accounts administrator can access. Anyone on the team can check payment status in Re-Leased.
“As long as the rent is correct in Re-Leased, it will be correct on the invoice. As well as saving time, it means we don’t have to think about it.”
Utility management: the unexpected win
The Craggs manages 98 meters across its sites. Every quarter, someone walks the properties taking water, electric, and solar readings. Before Re-Leased, the readings went into spreadsheets, were manually reconciled, and then used to calculate tenant recharges.
When Re-Leased’s utility meter feature launched, it wasn’t even part of the original sales pitch. Heidi calls it a “total game changer.” The team now uploads readings directly into Re-Leased, cutting out an entire layer of manual processing and replacing a quarterly headache with a reliable, repeatable workflow.
“The utility section has totally changed everything we do. It’s been a total game changer.”
A team built for what comes next
Heidi ran the implementation herself, outside the day-to-day business, learning the system and configuring it before rolling it out to the wider team. Because Heidi knows the business inside out, she didn’t need to go back and check processes with the team. She could make decisions, test configurations, and hand over a finished setup. Onboarding specialist Jules made the process feel manageable throughout.
“[Jules] just understood what we needed and was totally happy to help, even when it was outside her remit. If I needed to message her later on, she’d always come back, and she wanted us making the most of Re-Leased.”
That same appetite for technology has carried into how the team approaches AI. Heidi runs regular training sessions, giving each team member dedicated time to learn and experiment rather than expecting them to fit it around their day jobs. The first session started with an open conversation about what everyone was worried about. From there, the team built confidence together, moving from uncertainty to genuine enthusiasm. With Credia Plus activated on their account, The Craggs is well positioned to put AI to work inside Re-Leased.
It’s a mindset shift that fits naturally with how they approached Re-Leased: commit to the process, trust the tools, and let them make you better.
Looking ahead
The Craggs has new sites coming on board, and plenty of Re-Leased features still to explore, from compliance templates to the tenant portal. Heidi estimates they’re about 40% of the way through what the platform can do for them, and it’s already delivering clear results.
“I’ve had nothing other than a positive experience. You get out what you put in. We’re maybe 40% of the way there and it’s still delivering benefits.”
